Customer portal for equipment dealers

Custom software

An equipment dealer's team spent a large part of the day answering the same calls: where is my order, when is my service visit, can I order more supplies. We built a customer portal so customers can get those answers, and reorder, on their own.

The story

From the point to the layer

The pointCustomers had to call the office to check on orders, service and supplies.
The layerA portal where customers see their orders and service visits, and reorder supplies themselves.
What changedCustomers get answers without waiting, and the team spends its time on service.
Who we worked with

The client

An equipment dealer that sells, services and supplies equipment for business customers. Its customers depend on that equipment day to day, so orders, service visits and supplies all matter.

Where it got stuck

The challenge

The dealer already had the information customers wanted. It was just locked inside internal systems, so customers had to call or email to get it. Every status question took the team away from service work, and customers waited for answers the business already had.

The existing customer site was dated, and the client wanted something modern that still felt familiar and practical for their customers.

The layer

What we built

01Orders and statusCustomers see their orders and where each one is, without calling.
02Service visits and historyUpcoming and past service visits, with what was done, for each customer.
03Supply reordersCustomers reorder their usual supplies in a few clicks, sent straight to the dealer as an order.
04Built on the dealer's brandA clean, modern design in the dealer's own colours, on their own domain.
05Connected, not copiedThe portal reads from the dealer's systems, so customers see the same up-to-date information as the team.
The process

How we worked

01We found the pointWe listed the questions customers called about most and picked the ones the portal could answer first.
02We built the layerWe designed the portal with the dealer's brand, then connected it to their systems so it stays up to date on its own.
03We kept it runningWe stay on to add features as customers ask for them.
What changed

The result

Customers get one place to check orders and service visits and reorder supplies on their own, any time. Fewer status calls reach the office, so the team can spend its time on service.

FAQ

About this project

01

Did the dealer have to replace their internal systems?

No. The portal sits on top of the systems they already use.

02

Can customers see equipment they own?

That is a natural next step. Each unit, its serial number and its service history can be shown alongside orders and visits.
